REFUND & CANCELLATION POLICY — FARMORA EXPORTS

This Refund & Cancellation Policy outlines the terms under which Farmora Exports (“we”, “our”, “the exporter”) handles cancellations, refunds, replacement claims, and sample orders.
By placing an order or requesting a quotation, the Buyer agrees to this policy.


1. General Terms

Farmora Exports is a B2B merchant exporter supplying bulk quantities of food-grade powders.
Due to the nature of exported goods, refunds and cancellations are strictly limited.

All orders, unless otherwise stated in writing, are considered final after confirmation.


2. Order Cancellation Policy

An order is considered confirmed only when:

  • The Buyer accepts the Proforma Invoice (PI), and

  • Full advance payment is received by Farmora Exports.

Once the above conditions are met, orders cannot be cancelled, except in the following rare situations:

✔ Order cancellation is allowed only if:

  1. The shipment has not yet entered processing or production, and

  2. Written approval is provided by Farmora Exports.

If approved, the Buyer may be subject to:

  • Administrative charges

  • Documentation cancellation fees

  • Bank transfer fees

  • Warehouse handling fees

Farmora Exports reserves full discretion in approving or denying cancellation.


3. Refund Policy

Because our products are exported, perishable, and processed in controlled batches, we do not offer refunds once payment is received and batch processing has begun.

Refunds do NOT apply to:

  • Buyer’s change of mind

  • Import/customs rejection due to Buyer’s regulatory issues

  • Delays caused by shipping carriers or customs

  • Wrong delivery address provided by Buyer

  • Buyer-side documentation issues

  • Buyer failing to obtain required import permits


4. Replacement Policy (Quality Issues Only)

Farmora Exports may offer a replacement shipment under the following conditions:

  1. The Buyer provides verifiable proof of quality discrepancy

  2. The issue is confirmed through:

    • COA mismatch

    • Product contamination

    • Manufacturing defect

  3. The complaint is submitted within 48 hours of receiving the goods

  4. Goods remain sealed, unused, and stored properly

If replacement is approved:

  • Costs of re-shipment may be shared or fully handled depending on case

  • No monetary refund will be issued

Farmora Exports may request:

  • Pictures, videos, laboratory reports

  • Sealed samples for testing

  • Shipping/receiving documents


5. No Returns Policy

Due to international regulations for food products, Farmora Exports does not accept physical returns of goods once they have been shipped.

This ensures safety compliance and prevents contamination risks.


6. Sample Orders (Non-Refundable)

All samples (1–5 kg):

  • Must be prepaid 100%

  • Are non-refundable

  • Cannot be cancelled once dispatched

  • Are not eligible for replacements

Samples are intended only for evaluation.


7. Shipping Delays

Refunds or order cancellations are not permitted due to:

  • Port delays

  • Customs inspections

  • Airline or shipping line delays

  • Force majeure events

  • Holidays or strikes

  • Global freight congestion

Farmora Exports will assist with tracking but is not financially responsible for external delays.


8. Import Compliance Responsibility

The Buyer is solely responsible for:

  • Understanding their country’s import laws

  • Securing necessary permits

  • Meeting health/food regulations

  • Customs clearance and duties

Refunds or cancellations cannot be requested for import rejections caused by Buyer-side compliance.
